Position Summary:

This team member works hand-in-hand with our event and sales teams, and other members of the operation to ensure event success. Coordinates arrangements for major events, sponsored events, and corporate group events and banquets, ensuring a seamless and flawless execution. Maintains a balance between delivery of hospitality and service and promotion of the revenue centers.

Job Duties & Responsibilities:

  • Consults with representatives of client group or internal organization to plan details such as number of persons expected, display space desire, site location, facilities and services schedule.
  • Coordinates arrangements with appropriate departments, such as safety, vendors and facilities and operations.
  • Notifies various department heads and managers of arrangements.
  • Prepares contracts and exhibits per Planning Notes from Sales and Operations.
  • Maintains event schedule for all parts of Venue and facilities.
  • Informs all internal specialists and marketing if there are any needs for publicity and or signage.
  • Quickly and effectively resolves complaints, and performs other duties to promote goodwill.
  • Establishes and maintains internal and external relationships by interacting and communicating effectively with diverse groups of individuals.
  • Maintains contact with group representatives to ensure any unforeseen event is handled seamlessly and flawlessly.
  • Confers with supervisor to review achievements and discuss needed changes in goals or objectives resulting from current or projected future status or conditions.
  • Assist in the development of and employs appropriate measures to assess event effectiveness and success.
  • Maximizes cost effectiveness within the area by ensuring compliance with established budget, labor, and revenue benchmarks.
  • Recommends and implements techniques to improve productivity, reduce costs, and improve guest service.
  • Meets challenges with resourcefulness; develops innovative approaches and ideas.
  • Conveys feelings of warmth, caring, safety, and efficiency to each guest.
  • Ensures meetings adhere to fire and safety regulations.

Key Qualifications-Education & Work Experience:

  • High school diploma or equivalent (GED) preferred.
  • Three (3) years of demonstrated events or sales experience.
  • Knowledge of motorsports highly preferred, and/or events or sales-operational knowledge of public events.
  • Must possess a valid AZ driver's license, proved a 39-month violation-free MVR report.
  • Must be able to obtain a Tribal operator license driving permit at the time of hire.
  • A satisfactory result obtained through a test for illegal drugs is a requirement of employment.
  • Must acknowledge and agree to maintain a drug-free workplace as a condition of employment.

Knowledge, Skills & Abilities:

  • Knowledge of events, motorsports and banquet standards and client service practices is helpful.
  • Knowledge of modern filing and recordkeeping practices and procedures.
  • Strong administrative skills.
  • Strong organizational, planning, and time management skills.
