Job Description Summary
This position provides primary technical and business support for the functions of the Hofmann Research Center for Animal Reproduction.This position is located at the New Bolton Center in Kennett Square, PA which is approximately 33 miles outside of Philadelphia. Please note that no public transportation available to this location. Free on-site parking is available.
Job Description
Primary responsibilities include but are not limited to: patient admissions/discharges; billing; medical record upkeep; inventory management; equipment and instruments maintenance; assistance with clinical cases; laboratory sample processing; semen and embryo cryobank management; quarantine and healthcare program management; regulatory compliance assurance; and teaching support. Position located in Kennett Square, no public transportation available.
Job Responsibilities
* Hold patients for exams and procedures, such as ultrasound and fertility exams. Assist with semen collections in the breeding shed. Provide hands-on assistance to clinicians performing embryo transfers, trans vaginal follicle aspirations, and semen cryopreservation.
* Setup equipment and supplies in preparation for clinical exams and procedures. Clean, disinfect, and sterilize clinical and laboratory equipment. Maintain clinical and laboratory areas clean and organized. Oversee clinical and laboratory equipment maintenance and repairs.
* Manage semen and embryo cryobank. Prepare liquid nitrogen tanks for shipment and receive external tank shipments. Package straws under liquid nitrogen for storage. Refill large capacity liquid nitrogen storage tanks and freezer cylinder. Track sample storage and use and maintain electronic database. Prepare and send contracts annual updated contracts to clients.
* Review animal use guidelines and policies and ensure Hofmann Center compliance for regulatory inspections (IACUC/AAALAC/USDA). Maintain all appropriate animal and medication records, including controlled drugs. Ensure no expired drugs and medications are kept. Inspect facilities and report deficiencies. Oversee storage and disposal of hazard chemicals according to EHS guidelines.
* Manage quarantine and routine healthcare for Hofmann Center incoming and resident horses. Oversee Salmonella, parasite, and annual equine infectious anemia testing. Schedule and oversee routine farrier and dental care. Administer required vaccines and dewormers.
* Communicate with clients to book appointments, answer questions, provide estimates for services, provide contract and billing details, coordinate semen shipments, send and receive correspondence. Register new clients, admit/discharge patients, update medical records, enter charges, review/revise bills, and collect payment.
* Control supply inventory, including medication and controlled drugs. Order, receive, and stock supplies. Process purchase orders and prepare expense reports.
* Process clinical samples such as blood, urine, feces, semen, uterine and preputial swabs, and prepare submissions/shipments for laboratory testing.
* Assist teaching veterinary and veterinary technician students. Order equipment and supplies for teaching labs. Prepare for, assist with, and clean up after teaching labs. Review large animal reproduction practices to veterinary technician students.

Qualifications
Laboratory Services Assistant B: (1) High School Degree (or equivalent); (2) Minimum 1-2 years of experience working with customer service (e.g. office, veterinary clinic) AND working in a clinical or biology laboratory OR working with horses in a professional setting (e.g., stud farm, veterinary clinic, racetrack); (3) proficient in Microsoft Office tools (Word, Excel, Outlook, Access) and Electronic Medication Record systems (e.g. Vision, Instinct, VetStar); (4) Excellent communication and organizational skills.
Laboratory Services Assistant C: (1) High School Degree; (or equivalent) (2) Minimum 2-3 years of experience working with customer service (e.g. office, veterinary clinic) AND working in a clinical or biology laboratory AND working with horses in a professional setting (e.g., stud farm, veterinary clinic, racetrack); (3) proficient in Microsoft Office tools (Word, Excel, Outlook, Access), Electronic Medication Record systems (e.g. Vision, Instinct, VetStar), and university shipping and financial systems (e.g. eShip Global, Ben Buys, Bank credit card system); (4) Excellent communication and organizational skills; (5) Certification as Laboratory Animal Research Coordinator (LARC).
